Booking Information

  • Guest count must not exceed 50 people, due to capacity regulations from the local fire department.

    • 1 Hour: $100, Plus Menu Items Purchased

      Add-On time:

    • 30 Minutes: $50, Plus Menu Items Purchased

    • 15 Minutes: $25, Plus Menu Items Purchased

  • Deposit

    A $25 deposit is due before reserving, this will be deducted from your final total. Payment will be sent via email, must be paid before event booking.

    • Host Pays in Full, Including Rental Fee - 10% Discount on Total

    Final Payment

    Rental fees and payment for menu items will be due at the Loblolly Benton Scoop Shop on or before the day of your event.

  • Private Party Agreement

    By submitting the form to request a private party at the Loblolly Benton Scoop Shop, customer agrees to all terms and conditions listed below.

    Deposit

    A $25 deposit is due before reserving, this will be deducted from your final total. Payment will be sent via email, must be paid before event booking.

    Final Payment

    Rental fees and payment for menu items will be due at the Loblolly Benton Scoop Shop on or before the day of your event.

    Fees
    Payment of any additional fees (Cleaning or Damage) will be due upon receipt.

    No alcohol on premises. Arkansas State Law and food-handling regulations from the FDA/Arkansas Health Department prohibit alcohol at any establishment that does not possess a liquor license.

    Decorations

    The client or host of party may only arrive up to 30 minutes before the scheduled event to set up decorations.

    • Loblolly Creamery has a ‘leave no trace’ policy. Customer agrees that any decor will personally be taken down as soon as the event concludes. Loose glitter, confetti, balloons with confetti, real-flame candles, “smashcakes”, sand, feathers, and bubbles are prohibited.

    • Decor must not require any wall adhesive that will damage Loblolly property.

    • Loblolly will not store any decorations prior to the event.

    • Any decor or trash left by attendees after the event will result in a $50 cleaning fee applied to the final bill or charged to the card on file.

    • Any property damage will result in a $100 fee applied to the final bill or charged to the card on file.

    Outside Food/Drink

    Customers may bring outside food upon approval from the event planner. Things like pizza, sandwiches, and juice boxes are welcome. Any outside food that requires open-flame to keep warm is strictly prohibited. Please refrain from bringing any outside desserts other than cake. Loblolly Creamery will not provide plates or cutlery unless a Loblolly Ice Cream Cake is requested.

    Cancellations

    Fees calculated based on total shop rental time/amount:

    No Fee: Cancellations made with at least 72 hours' notice before the scheduled event time.

    30% Fee: Cancellations made within 72 hours of the scheduled event time.

    100% Fee: Cancellations made within 24 hours of the scheduled event time.

    Loblolly Creamery is not responsible for event cancellations due to weather emergencies, health issues, travel restrictions, or other factors beyond our control. If the event must be canceled due to these circumstances, all cancellation fees will be waived

    Event and Attendee Conduct

    The client or host of the scheduled event agrees to be responsible for conduct of all guests and any damages accrued during the time of event by the individuals associated with the event.

    Loblolly Creamery reserves the right to refuse service for any reason, including but not limited to: displays of racism, homophobia/transphobia, sexism, and/or ableism, disregard for Loblolly property or any above rules, and disrespect towards Loblolly staff.

    Compliance with Law: This agreement is governed by and construed in accordance with the laws of the State of Arkansas.
